Description
This Position is Part Time (30hrs/week). The successful candidate will be responsible for, but not limited to, the following:
Responsibilities
Administrative Coordination 
  • Support all aspects of talent and VIP travel as needed, including booking travel 
  • Coordinate with company travel agent on trip itineraries 
  • Ensure compliance with company travel policy and procedures 
  • Perform other duties as required 
 

Facilities/Office Coordination 
  • Serves as customer interface and point of contact for various groups and individuals such as employees, vendors, suppliers, contractors, and the general public 
  • Maintains inventory records of furniture and supplies. 
  • Performs equipment troubleshooting, such as copiers 
  • Updates and maintains floor maps and seating charts 
  • Coordinates repair work with NEP Studios, such as day-to-day facilities concerns and requests like: installing, adjusting or removing keyboard trays, moving furniture, adjusting work surfaces, replacing light bulbs, hanging bulletin boards, etc. 
  • Orders and stocks all office supplies 
  • Processes all incoming USPS mail 
  • Assists with office event planning and execution 
  • Performs new hire workstation set ups 
  • Responsible for all corporate printing supplies, including business cards, letterhead, envelopes and mailing labels 
  • Assembles furniture, cabinets, shelving, etc. 
  • Maintains cleanliness of equipment and work areas 
  • Maintains assigned equipment and tools 
  • Maintains assigned buildings/areas 
  • Perform other duties as required  
Purchasing 
  • Coordinates the purchase ordering process 
  • Responsible for all shipping and receiving inventory 
  • Works closely with headquarters to ensure that assets are tracked and managed as a part of the process 
  • Perform other duties as required 

Skills

  • 2+ years in an administrative role 
  • 2+ years’ experience in a Facilities or Operations support role, preferably in a start-up environment. Some exposure to Great Plains Dynamics and Purchasing/Receiving is a major bonus. 
  • 2+ years’ experience with Word, Excel, Visio, and PowerPoint 
  • Excellent attention to detail and time management skills 
  • Performs with a sense of urgency and purpose to every task
  • Possesses the ability to close feedback loops and exercise consistent follow-through 
  • High standard for work product 
  • Knowledge of standard tools, materials and practices of the industry. 
  • Knowledge of occupational hazards and safety precautions of the industry. 
  • Knows how to maintain effective relationships with personnel of other departments, professionals and members of the public through contact and cooperation. 
  • Knows how to act calmly and quickly in emergency situations. 
  • Must be able to comfortably climb ladders of 10ft high 
  • Must be able to lift and carry up to 25lb, including up and down staircases 
  • Must have a broad knowledge of standard office procedures and equipment, including proficiency in the use of business office machines (i.e. copy machines, postage machines, computers, and scanners) 
  • Must demonstrate clear understanding of the service role of the position and the need for accuracy, efficiency (including time management) and effective interaction within team, and across the organization.
